Small Conference/Family Room Policy

The Springfield Town Library has one small conference/family room on the second floor available for use, courtesy of a 2018 “Race to the Top – Early Learning Challenge” (a.k.a. Promise Community) Grant.

This safe and private space to meet was designed for patrons and community organizations who may need supervised visitation; consultation and support with mental health providers; telemedicine visits with a health professional; tutoring; or just a quiet space for a family to decompress. In addition to the above needs stated in the grant application, use of the room has been expanded to include those who may need a quieter space to work, take a virtual class, or host/attend a virtual meeting. The space is not intended to be used by those conducting for-profit business, but occasional exceptions may be made on a case-by-case basis. The room has Wi-Fi and seating for 4-5 people.

Groups or individuals wishing to use the room shall provide their name and contact information to the library staff.  Users may reserve the family room for up to three (3) hours/day (no more than six (6) hours per week) for use during regular library hours. Library staff may approve exceptions. Use of the room must end at least 15 minutes before the library closes.

The room is to be used as is. The family room door is to be closed upon leaving. Users shall take all belongings with them when they leave, unless it is a short visit to another area of the library. The library staff is not responsible for any items left behind. Users should expect items left behind will be discarded unless retrieved within 3 days. The room shall be left clean following use and all furniture/equipment shall be returned to its original location.

Users should understand the room is not soundproof, so conversations may be overheard.  While there is a sound machine available, users should not assume information discussed will be completely confidential.

A person’s right to use this space shall not be denied or abridged because of origin, age, background, or views.
